The intake process is a critical part of that mission.

The Role
This is an IN PERSON position in either our West Valley or Ogden clinic. We are hiring an Intake Specialist to own the full client intake and insurance process for our ABA services. This role is responsible for ensuring families move smoothly from first contact to authorized services and scheduled care. You will manage intake workflows, oversee the waitlist, supervise the authorization process, and support credentialing and insurance coordination.

Responsibilities

  • Client Intake and Onboarding: Manage the full intake process from initial inquiry through start of services. Serve as the primary point of contact for new families. Guide families through insurance, paperwork, and next steps. Ensure a smooth, responsive, and compassionate experience.
  • Waitlist Management: Maintain an organized and actively managed waitlist. Prioritize clients based on availability, funding, and fit. Proactively move families toward starting services.
  • Insurance and Authorizations: Oversee insurance verification and benefits checks. Supervise the Authorization Specialist. Ensure timely submission and follow up on authorizations. Address denials, delays, and payer issues.
  • Credentialing Coordination: Support provider credentialing with insurance panels. Track application status and maintain compliance. Help ensure providers are able to bill efficiently.
  • Operations and Systems: Build and improve intake workflows and processes. Track key metrics such as time to start and authorization timelines. Identify bottlenecks and implement solutions.

Qualifications
Required: Experience in ABA, behavioral health, or healthcare administration. Strong knowledge of insurance verification and prior authorizations. Experience managing client intake or scheduling workflows.

Preferred: Experience with ABA funding sources including Medicaid and commercial insurance. Experience supervising team members. Familiarity with credentialing and payer enrollment. Experience with EMR or EHR systems.
